Reports to – Visitor Services Manager
Award & Classification: Clerks- Private Sector Award 2020, Level 3
Annualised Salary – $70,000 per annum + 12% ($78,400 incl super), pro rata to $42,000 + super ($47,040 incl super) for 3 days per week.
ABOUT BUNDANON
Bundanon is an art museum embedded in a 1,000 hectare landscape, in the Shoalhaven region of NSW. The organisation’s mission is to operate the Bundanon properties as a centre for creative arts and education, to support the development of arts practice across all disciplines and to enable public access to the arts and to the landscape. ABOUT THE ROLE
The Ticketing Officer will support and manage event ticketing, reporting, system support, and administrative functions at Bundanon. This role involves building and maintaining event listings on the ticketing platform, monitoring ticket transactions, and ensuring accurate data entry. The role will deliver regular KPI reports, prepare visitation data, support the site-wide event management system, and maintain consistent naming protocols. Additionally, cater to ticket requests and refunds, provide process documentation, maintain sector knowledge, and handle general administrative tasks. Overall, this role contributes to creating a seamless and enriching experience for all visitors to Bundanon.
WHAT YOU WILL DO…
Ticketing Support
- Build events on the ticketing platform as required with accuracy and in consultation with the internal stakeholders.
- Provide support across the organisation to maintain the event ticketing platform. · Monitor ticket transactions and suggest updates as needed in the system.
- Maintain up-to-date knowledge and skills relating to the ticketing platform through training and self-directed learning.
- Create process flowcharts and instruction sheets as needed for other ticketing users.
- Maintain current and good knowledge of exhibitions, events and the varied programs.
- Deliver regular reports tracking progress against Key Performance Indicators (KPI) and identifying areas of opportunity.
- Manage complimentary, staff and VIP ticket requests and lists.
- Process ticket refunds as approved by management.
- Contact ticket holders about changes and respond to enquiries for ticketed events by phone and email.
- Maintain good knowledge of sector ticket pricing and policies.
Reporting
- Deliver regular reports tracking progress against Key Performance Indicators (KPI) and identifying areas of opportunity.
- Prepare visitation data for monthly and periodic reports.
- Monitor visitation data in the event management system (Momentus) to ensure information is entered correctly including numbers, categories, naming protocols etc.
- Send and collate visitor surveys and responses.
System Support
- Support the site wide event management system and calendar for venues and accommodation.
- In collaboration with relevant internal stakeholders establish and maintain naming protocols across site wide systems including but not limited to event management system, ticketing platform, internal record keeping, CRM etc.
- Attend weekly WIP meetings and support the delivery as needed.
Admin Duties
- General administration tasks
- Event support including evenings and weekends as required.
- Financial processes including credit card requisitions, purchase orders and invoice requests. · Membership administration including processing new applications, renewals etc.
- Data and CRM entry and maintenance
- Monitor and manage the admin and stay email inboxes, responding to enquiries and referring on to other areas of the organisation as required.
- Send out pre and post event communications with approved content for the Engagement team.
- Prepare weekly activity schedule and attend and contribute to weekly cross departmental meetings.
