Designer and Project Coordinator
Art Pharmacy is a public art and cultural strategy consultancy working across placemaking, corporate collections, community engagement and artist procurement. We are seeking a creative, organised, and proactive Designer and Project Coordinator to join our team.
This is a multi-disciplinary role blending graphic design, project coordination, marketing execution and artist liaison. You will work across Canva, WordPress, Mailchimp, and Asana, supporting the delivery of high-quality outputs for public art projects, client presentations, and marketing campaigns.
The role suits someone equally comfortable designing a client presentation and managing artist correspondence on a deadline.
Key Responsibilities
Design and Visual Communication
- Design and produce all client presentations, strategy documents, proposals, reports and pitch decks
- Maintain brand consistency across all design outputs for Art Pharmacy and Sugar Glider Digital
- Create marketing assets, including reels, GIFs, infographics and social media content
- Prepare and format tender submissions and curatorial documents, including uploads to required platforms
- Map public art opportunities across architectural plans (interior and exterior)
- Produce and maintain documentation, including maintenance manuals, artist acknowledgment materials and project records
Project and Client Coordination
- Support end-to-end delivery of public art and cultural projects from concept to completion
- Manage day-to-day email communications with clients, artists, fabricators, engineers and suppliers
- Liaise with project stakeholders to keep communication and delivery on track
- Draft, review, and manage artist briefs, contracts and proposals
- Maintain WIP trackers, project documentation and Asana project boards
- Take and distribute meeting notes within 2 hours using Otter.ai
- Assist in coordinating site visits, installations and community engagement activities
- Work with the studio assistant to make sure all the files are up to date.
Art Strategy and Curatorial Research
- Conduct art strategy and curatorial research to support project development
- Source and research artists for new projects, commissions and activations
- Build and maintain artist longlists and shortlists
- Write and review artist bios, project descriptions, curatorial statements and grant submissions
- Maintain and update the digital art library and artist databases
- Support First Nations consultation processes and cultural documentation as required
Marketing and Communications
- Plan, write and send monthly EDMs via Mailchimp, including resending to non-openers
- Draft and publish post-project write-ups on the Art Pharmacy and Sugar Glider Digital websites via WordPress
- Create and schedule content across social media channels for Art Pharmacy, Sugar Glider Digital and associated profiles
- Manage Google reviews and apply for relevant conferences and industry awards
- Produce monthly marketing reports and maintain content alignment across platforms
- Coordinate with project collaborators on image rights, photographer briefings and content sequencing
- You will be managing someone overseas to execute the marketing strategy
- Write blogs for the website
Events and Activations
- Assist in coordinating Art Pharmacy events, including the ACE Hotel panel series and Flourish networking events
- Manage event ticketing via Humanitix and update event listings across relevant platforms
- Brief and coordinate photographers and videographers for events, installations and project shoots
- Attend relevant arts, culture and business events to support business development
- Attending speaking engagements with Emilya (events, architecture, etc.) to manage the calendar and be one step ahead of what is happening in the art world.
Administration and Operations
- Maintain B-Corp tracking documentation and artist databases
- Keep templates up to date across all business outputs
- Support book distribution and client gifting as required
- Assist with grant submissions, tenders and award applications
Tools and Platforms
Canva, WordPress, Mailchimp, Asana, Otter.ai, Google Workspace, Squarespace, Humanitix, Instagram, LinkedIn, Aconex / Ariba, 1Password.
Essential Criteria
- Minimum 3 years professional experience in design, arts administration or a related field
- Proficiency in Canva and comfort across a range of digital platforms
- Strong layout, visual communication and document formatting skills
- Experience with marketing platforms, including Mailchimp, WordPress and social media channels
- Familiarity with public art, placemaking or built environment projects is highly regarded
- Excellent written communication skills for both client-facing and internal correspondence
- Ability to work independently, manage competing priorities and meet deadlines under pressure
- Responsive and collaborative, with the ability to work across time zones when required
Engagement Terms
A note on the nature of this role
Art Pharmacy operates in a fast-moving, project-driven environment. This role will occasionally require flexibility outside standard hours, including evening events, installation days, and tender deadlines that don’t always fall between 9 and 5. This is not the norm, but it is the reality of working in a small, ambitious creative business. If you are someone who needs strict boundaries around after-hours contact, this role is likely not the right fit.
