Project Marketing Assistant

As the Project Marketing Assistant at Art Pharmacy, you’ll play a key role in supporting the successful delivery of public art commissions, corporate art collections, and public art strategies.
This role is essential to our small team, combining marketing, project coordination, and presentation creation. You’ll work closely with the Director and Operations Manager, contributing to the business’s growth by creating compelling proposals, managing marketing activities, and supporting client projects.

Reporting to: Director and Operations Manager
Employment Type: Full-Time
Salary: $65,000 – $75,000 + superannuation (dependent on experience)
Location: Hybrid work model (office and work-from-home options available)

KEY RESPONSIBILITIES
1. Marketing and Communications
Develop and send engaging EDMs using Mailchimp to promote projects and updates.
Manage Art Pharmacy’s social media channels and LinkedIn, creating consistent, creative, and relevant content to grow engagement.
Create visually appealing marketing materials, such as brochures, sales decks, and proposals, using Adobe InDesign and Photoshop.
Monitor social media and marketing metrics, providing regular insights to the Director.
2. Curatorial and Creative Support
Research artists and prepare InDesign presentations for client proposals.
Source and recommend artists for projects, ensuring alignment with client values and objectives.
Write and review project summaries, artist statements, and contracts.
Support the creative development of proposals and ensure all materials are client-ready.
3. Project and Business Support
Assist the Director in preparing and delivering client presentations and proposals.
Update and maintain the Work in Progress (WIP) document with accurate project updates.
Provide general project coordination support, ensuring timelines, milestones, and deadlines are met.
Shadow and assist other project managers, offering support across various projects.
4. Administrative and Operational Tasks
Prepare professional project reports and updates for internal and external stakeholders.
Maintain organised project files and documentation.
Respond to emails and communications promptly, ensuring smooth coordination with artists, clients, and partners.
5. Supporting the Director (Rainmaker Role)
Provide executive-level support to the Director by helping with ad-hoc tasks, coordinating meetings, and preparing follow-ups.
Assist with brainstorming and refining ideas for new proposals, presentations, and client opportunities.
Ensure the Director’s creative vision is communicated through polished materials and presentations.
SELECTION CRITERIA
Relevant tertiary qualifications in Contemporary Art, Art History, Marketing, Arts Management, or a related field.
Strong knowledge of contemporary art and culture within Australia and a commitment to promoting living artists.
At least 2 years of experience in marketing, project coordination, or a related role.
Proficiency in Adobe InDesign, Photoshop, and digital marketing tools like Mailchimp.
Excellent organisational, administrative, and problem-solving skills, with high attention to detail.
Exceptional written and verbal communication skills.
A proactive, adaptable, and results-driven approach, with the ability to multitask in a fast-paced environment.
Ability to remain calm under pressure and meet deadlines with a positive attitude.
